Church Secretary Job Description

Calhoun Seventh-day Adventist Church

 

Work schedule:   Monday to Friday

Total hours:  24 per week.

This person will report to the senior pastor directly and will assist the associate pastor as needed.

I.  General job description and personal qualities

The purpose of this role is: “to fulfill the day-to-day affairs of the church which require ongoing attention and to perform general office work thus relieving the pastors of clerical duties.”  

The church secretary is on the frontlines and is often the first person the public sees or talks to.  In that sense, the secretary becomes pastor, church, and denomination to visitors or callers.  Hence, she/he is to act professionally at all times.  The secretary must also create an environment that is inviting to people passing through on a daily basis.  The work of the church secretary is therefore not a mere job but a calling that enhances and strengthens the ministry of the church.

The administrative assistant must therefore:

  1. have a caring attitude, excellent people skill, and high integrity (a positive attitude);
  2. be accessible, responsive, and flexible to handle the changing needs of the church (reliability is a must);
  3. have clerical, communications, computer, and well-organized skills (articulate & computer literate);
  4. have effective verbal, writing, editorial, and publishing skills (good with words and spelling);
  5. have a knowledge of the Calhoun Seventh-day Adventist Church and its ministerial structures and be able to coordinate the church’s unique schedules (a leader & Christ-centered life).

Because of the nature of the role, this person must demonstrate a high level of trust and the ability to protect the reputation and integrity of others through strict confidentiality. The wisdom to refrain from indiscriminately sharing information is critical.   Additionally, the willingness to learn new skills, work as a team player, and overall dependability/accessibility are very important.

II. Expectations

The administrative assistant will be proficient in the use of standard of office tools: copy machine, and computer programs like Word, Excel, PowerPoint and Publisher. She/he will demonstrate organizational skills, as well as an ability to relate well with a diversity of persons: pastor, church officers and visitors. She/he will have had experience in the secretarial vocation, and demonstrate a willingness to grow spiritually, attitudinally and vocationally, exhibiting a personal faith in Jesus Christ as Lord and Savior, seeking to be growing in the manifestation of the fruit of the Spirit and a willingness to develop a comprehensive understanding of the church she/he serves, and receive additional training, should that be deemed necessary. She/he will be a cooperative team member in relation with others who share the work environment and responsibilities.
